Introduction

6.0.3.198 adds the 2011 shipping rates for UPS, FedEx and USPS to the previous 6.0.3 release. No other changes were made. For more information on the rate changes from the major carriers, see these links:

Welcome to CMS version 6.0.3. While a large portion of our recent work has been focused on completing CMS's PA DSS validation, there has also been a number of important fixes as well as some useful new features developed. Version 6.0.3 was created to expedite getting these enhancements to you as soon as possible, without having to wait for our next major release, version 7.0.


READ BEFORE INSTALLING 6.0.3 - Important information to prepare you for the transition to the new version.

Release codes - During the installation of version 6.0.3 you will be asked to enter your 6.0 release code. Release codes from versions previous to 6.0 will not work. You can access your 6.x release code by logging into the Support Downloads section of our web site. Just enter your customer number and zip code to log in.

Server updates - Server updates will not take any longer than normal unless you are updating from version 5.x or 4.x. In those cases you should expect the update to take two to three times as long to install.

Workstation updates - Workstation updates are optional but recommended for version 6.x users and 5.x upgrades. The workstation updates will update the Help system which is installed locally on each machine. You may instead just install on the server and manually copy the CMS.chm file from the server to the workstations' local \NewHaven Software folder. This will ensure each user has access to the latest CMS Help. Help has been updated to include features introduced through this release.

If you are updating from 4.x, you will need to install this upgrade on the workstations as well as the server.

Database Changes - No fields have been deprecated. The following fields have been added:

Products table - fields appearing the Products screen

Kits table - field appearing under the Kits tab in the Products screen

UPSPackages view - changes to the view created which UPS Worldship connects to for keyed imports

XML changes - Fields added to CMSXML.xsd

Integrations - All of our supported integrations will continue to work as well or better in 6.0.3 as they have previously.

eCMS - Product data uploads now offer better support for the inventory control capabilities of eCMS as described below.

Endicia DaZzle - Our integration with Endicia's DaZzle software will now also support international shipping and the printing of customs forms. Proper configuration is required. Please see below.

UPS Worldship 2010 (version 12) - We tested both the keyed import and XML auto-processing integrations with the new version of Worldship and all is working as expected. In our tests we upgraded from version 11 so if you are upgrading from an older version there could be unexpected issues. We've only seen such problems once in the past and hopefully UPS learned from that and we'll not see such issues again. Important changes to existing features in CMS that may affect your day to day use of CMS.

Products with Sizes and Colors - If you have products with sizes and/or colors and you are responsible for product setup and maintenance, you are likely now familiar with the SKU Wizard. The SKU Wizard is the tool in the Products screen used to add or modify SKUs (sizes and colors) to your products. Version 6.0.3 includes a new version of the SKU Wizard and you'll want to familiarize yourself with these changes before using it.

Variable Kits - If you are responsible for the setup and maintenance of products, and you use variable kits (those whose components are displayed as line items in Order Entry,) please read the description below on how the setup of variable kit components has changed.

6.0.3 ENHANCEMENT DETAILS

  1. SKU Wizard redesigned - There are two primary changes to the SKU Wizard in 6.0.3. One is the ability to edit size and color names and the other is the introduction of a single versus multi 'mode'.

    Editing SKU names - In version 6.0.1 we disabled the ability to edit in the SKU grid of the Products screen. This was to prevent errant edits to SKU names there which was just too easy to do. It was, however, the only place where SKU name editing was allowed. In 6.0.3 we've moved the size and color name fields into the SKU Wizard as editable fields. For the SKU selected in the left grid, you will be able to edit the Size and Color name on the right (green background.) This option is only available in Single-Select mode, described below.

    Single-Select mode


    Single versus Multi-Select modes - Previous versions of the SKU Wizard required that you click on the 'Edit Field Setup' button to select the field(s) you wanted to edit before allowing the edits to be made. In 6.0.3 you start in a 'single select' mode which allows immediate editing of any field so you can quickly and easily update SKUs as needed. You'll even notice there is no 'Edit Field Setup' button displayed. Just click on a SKU, change its price, click on another and change its expected cost, and continue to make any edits necessary, one SKU at a time, and click Save Modifications of Finish (also saves) when you're done.

    There are situations, however, where you will want to update multiple SKUs at one time. For example, if the price has changed on all your small, medium and large items, you'd want to be able to select all of those SKUs and then just type in the price change once and have it apply to all. To do this you will click on the new 'Enable Multi-Select' button (shown above.) In essence the SKU Wizard will now work like it had in previous versions and allow you to do multi-selects on the SKUs, choose the fields you want to edit and then update them all at once. The caveat is the new Size and Color names are disabled (gray background,) they can only be modified when not in Multi-Select mode.

    When in Multi-Select mode a few new buttons appear. These buttons are only useful in Multi-Select mode and thus are hidden when in Single-Select mode. These include the Edit Field Setup button as well as the Select Active and Unselect All buttons (top left.)

  2. Product screen changes - In addition to the SKU Wizard changes above, we have also made a few changes to the Products screen.
  3. Signature Required - If you have packages for which you want the recipient to sign for when it is delivered, we have added this option in a few places in CMS where it is pertinent. We can now support 'signature required' with our UPS integrations (keyed import or XML). Please let us know if you'd like to use this option with other carriers/integrations.

    The signature required option can be set on the recipient for imported orders, it can be selected by the operator in Order Entry or it can be required for certain products.
  4. Customs Information - Another addition to the Products screen are three new fields to support international shipping (see above screen shot.) In order to produce customs forms for international shipping, you'll need to indicate where the product you are shipping was manufactured (Country of Origin,) the Harmonization Code (also known as HTS - Harmonized Tariff Schedule or Tariff Code) and then the Product Description. The product description would be a simpler one than you probably uses for your normal product description (e.g. clothes, samples, tea.)

    In this 6.0.3 release we have added support for international shipments to CMS's Endicia integration. We expect UPS and FedEx to follow in future releases.

    Configuration instructions for use with Endicia
    Endicia requires that each item have a weight, country of origin and description of at least four characters. They do not, however, require or import the harmonization code yet (it can, however, be manually entered.) Any item you think you will be shipping internationally should have these fields completed in the Product screen as described above.

    If you do not enter a Product Description in this new 'Customs Information' section, CMS will instead use the same product description as you use for your invoices when transmitting customs information to Endicia. Please consider if your existing product descriptions are suitable for use as a customs description and create a customs description where appropriate. FedEx provides as good guide for customs descriptions which appear to be in line with USPS policy as well (FedEx is just better documented) http://fedex.com/ca_english/international/regulatorynews/clearingcustoms.html.

    When setting the weight on your items, do your best to set them accurately or, if you have to estimate, guess a bit on the low side. Endicia will not allow the package weight to be less than the sum of the weights of the contents. As such, the weight CMS will pass to Endicia is the greater of either the package weight from the manifest (scale recommended) or the sum of the item weights. This will ensure you can process the shipment without error but, if your item weights in CMS are too inflated, you may end up paying for a higher shipping weight than necessary.

    When configuring CMS for which Endicia label layouts to use, be sure to select those that start with the words 'SMALL' or 'LARGE' to ensure the proper customs forms will print. The supported customs forms are 2976 (CN 22) and 2976A (CP 72) which CMS will select automatically for you based on the shipping method and value of the order per USPS regulations.

    Customs forms will only print to the Windows default printer. Please make sure your default printer in Windows contains blank stock suitable for the customs forms (generally blank letter size paper) and that your Endicia layouts are properly configured to use any alternate label printer as appropriate.

    Limitations
    - CMS defaults the 'Type of Contents' to be Merchandise. There are no other options at this time.
    - Endicia and these customs forms only allow up to five line-items to be listed. If your order has more than five items, only the first five will appear on the customs forms. They are currently testing a 30 item customs form but at this time it can only be completed by hand (they still only support importing up to 5 items.)


  5. Variable Kits - Variable kits are those whose components will display as line items in Order Entry. Further, you can configure each component to be optional and, if selected, assign a corresponding surcharge. In 6.0.3 we've added a new setup option under the Kits tab of the Products screen so you can choose if you want an optional component to be included by default when the kit is added to the order.



    In other words, in previous CMS versions the optional components were not included by default. The operator would have to select them (double-click or space bar) to add the optional component to the kit. Now you can have the kit default to include the optional component yet still allow the operator to remove it if desired. The default will continue to be to exclude optional components so there is nothing you need to do if you want your optional components to continue to work as they have in previous versions.

    Removing optional components from a kit can be done when the kit is added to the order or by editing the item any time after by clicking the Kit Info button on the Order Entry>Items screen. Removing items from kits does not affect the price of the kit unless that component has a corresponding surcharge. Additionally, if the component is configured to 'Use Normal Price', which means the components are all priced instead of having a price for the whole kit, then removing that component will also remove its corresponding price.

  6. eCMS integration for inventory control enhanced- If you currently use inventory control in your eCMS store or are considering it, this may be the functionality you've been waiting for. The modifications we have made to our XML product data uploads to eCMS now offer better support for the eCMS inventory control features.

    Inventory control in eCMS is the automation of determining when an item should be displayed in your store based on its availability. How the availability is determined, however, may not be as simple as if it is in stock. Instead of just looking at quantity in stock, it can now take into account how many you have on order, when more units are arriving and how many you have on back order now. In essence, letting you pre-sell what you have on order without overselling.

    These controls are based on your use of CMS's Purchasing (PO) Module. When PO's are created, you can assign 'expected dates' to the PO and/or its items so CMS knows approximately when that stock will become available. Used in conjunction with stock on hand and quantity on back order, CMS can determine now only how many can be sold but also when to tell a shopper when their item is expected to be back in stock (and presumably ship shortly thereafter.)

    If you are using purchasing in CMS, and an item is on back order, CMS will display to the operator (in Order Entry) a list of the open PO's for that item and use color coding to help them find which PO will likely contain the stock needed to fill an order for this item today. (see image below) Our new product data uploads to eCMS use the same logic to determine the date inventory will be available for this order...what is refereed to as the 'back order date' in eCMS.



    In the above example, 1 unit is being ordered but 5 are already on back order. Assuming FIFO fulfillment (first in first out), we can surmise that if the customer orders this item today, their order will be fulfilled from the shipment we expect to to receive on 2/27. This same 2/27/2010 date is the back order date that will be uploaded to eCMS so customers who are placing an order for a back ordered item will see this date when stock for their order is expected to be received.

    Part of this solution what to include a new 'quantity on order' field in your product uploads. We have requested CommerceV3 modify their product imports to facilitate this. Until then, you can still take advantage of the inventory and next delivery (back order) date uploads.

    Limitations
    Inventory control in eCMS will not work fully on sub-products that have sizes/colors (attributes.) This limitation is in the store where inventory is not maintained at the attribute level for sub-products.

  7. UPS Keyed Imports - We've revised our keyed import integration with UPS Worldship by including support for signature required, third party billing and special instructions.
    To use any of these new integration options you will need to move a new CMSPackages.dat file from your \NewHaven Software folder on your server to your UPS workstation(s), into the C:\UPS\ImpExp\Shipment folder, replacing the CMSPackages.dat file that is there now. We recommend you rename the old one before replacing it. (e.g. CMSPackages.old)

  8. UPS XML integration - In version 6 we introduced support for the XML method of integrating with UPS Worldship. This method allows you to just click the Label button from the CMS manifest screen and then Worldship will print the label. In 6.0.3 we've added support for signature and adult signature required, third party billing, insurance, and special instructions. See the comments in #7 above for details of third party billing and special instructions.

  9. Reports updated - The following reports have been updated:
  10. New Beta Report - A report we have recently started testing which we're very excited about is the Current Fulfillment Status report. This report is similar in style to the Order Processing Summary (OPS) report which acts as a dashboard providing a high level view of the status of your fulfillments. This report will help you keep an eye on the printing, batching and credit card processing with the drill-down capability to see details of exceptions that may need looking into. In short. a single report to help you monitor fulfillment processing and make sure nothing is slipping through the cracks.

    This report is in beta and not yet supported. If you would find this type of report useful, please do try it and let us know how it could work better for you or if you find any problems with it.

  11. Automated Imports Module - A new validation check has been added to the Automated Imports Module which will look for items that have a $0.00 price. In most situations where you are importing orders from your site, or likely any source, you would not have an item for no cost and the presence of such an item would be indicative of a problem. This validation check will let you catch these zero price items before their order is saved or inventory is allocated.

  12. Windows 7 Support - Running CMS on Windows 7 workstations is now supported. We have designed a special workstation install to use for Vista and Windows 7 workstation installs. Please contact us if you need a copy of this installer. We do not yet have a server install for Windows 7 which would be needed if you are running a stand-alone version of CMS on your workstation or are trying to use Windows 7 as your server (not recommended.) Tech Support can help you get CMS installed in these situations.

    Coming soon - We now have Windows 2008 server in-house and have started our testing (both for running on 2008 Server and running CMS/Sybase on a 64-bit operating system.) This summer we expect to announce support for 2008 Server and have a new server installer that will handle Windows 7 and 2008 Server installs (without assistance from our Technical Support department.)

  13. Help - Help has been updated to include features introduced through this 6.0.3 release. We have also updated the CMS User Guide, available in PDF format, which you can find in your \NewHaven Software\Docs folder along with other software manuals.
