CMS Version 7.0.2 Release Notes

Introduction

CMS version 7.0.2 is the first update for 2011 and its main theme is shipping enhancements. In addition to the 2011 shipping rates for USPS, UPS and FedEx, we've added support for some new USPS service levels, improved our Endicia and UPS Worldship XML integrations, and standardized on shipping terminology used in CMS and its database. Also included are an improved Past Items feature in Order Entry and support for CommerceV3's format for ASCII product imports. Specifics on these additions and the list of bug fixes can be found below.

When to Install - The shipping rates in CMS will be updated when you install the 7.0.2 update. As such, you should plan the installation of your update to coincide with when you want the new rates to be available in CMS.

For perspective, having the current rates in CMS does not impact your ability to ship properly with any of your CMS shipping integrations. In every case, the software that prints the shipping label (e.g. Worldship, Ship Manager, Dazzle, ShipRush, etc.) determines the proper rate for the shipment and is thus how you are billed.

Having the current rates in CMS is typically more of a reference. Its greatest impact, though, is for companies who charge their customers a shipping and handling fee based on the actual carrier rate (instead of a spending table or other formulas.) If this is how you charge your customers for shipping and handling, you will want to make sure you have this update installed as soon as you want to start charging your customers based on the 2011 rates.

READ BEFORE INSTALLING 7.0.2 - If you are new to CMS version 7, you must read the version 7.0 Release Notes before proceeding with this update. There were significant changes between version 6 and 7 which are not covered in this document and must be understood before installing.

Release codes - During the installation you will be asked to enter your 7.x release code. Only 7.x release codes will work with your 7.0.2 update. You can access your 7.x release code by logging into the Support Downloads section of our web site. Just enter your customer number and zip code to log in.

Server updates - You will only need to install v7.0.2 on your server. No workstation updates are required.

PCI and PA-DSS - With every new CMS release, PCI related changes will be detailed in this section of the Release Notes to keep you apprised of how changes in the software may affect CMS's or your compliance. In version 7.0.2 no changes were made that affect your PCI or CMS's PA-DSS compliance.

The PCI Council has, however, released a new 2.0 specification for both PCI DSS and PA-DSS which are effective January 11, 2011. We have been reviewing their changes and largely the they are either not applicable to CMS and businesses like yours or they have added helpful clarification on how to interpret and apply the regulations. At this moment we don't see any need for change in CMS. We have, however, included an updated CMS PA-DSS Implementation Guide in in this update which starts to address some of the new language and requirements in PCI/PA DSS 2.0.

CMS was validated against the PA-DSS 1.2 specification which was current in 2010 and that validation lasts for three years at which point CMS will have to be re-validated against the current standard. If we make any changes to CMS that affect PA-DSS, we must submit our software for re-validation. Changes that affect CMS's PA-DSS validation would only be included in major or minor versions (e.g. 8.0 or 7.1) and never a release or build (e.g. 7.0.2 or 7.0.1.56). Database Changes - A number of changes were made to clarify shipping terminology both in the database and in the CMS interface. The database changes are detailed below. If you have written custom reports, invoice forms, PO forms, exports or integrations with your CMS database, please review them to see if any are referencing the following fields and update accordingly. CMS and all of its reports have been reviewed and updated.

eCMS - The ASCII product export from Setup>eCMS now outputs in the standard CommerceV3 layout instead of the CMS format, now deprecated by CV3. See below for more information.

UPS Worldship - CMS XML integration with Worldship now has support for email notifications (delivery, shipping and exception) with UPS's QVN service. See below for configuration instructions.

Endicia - Enhancements include return label processing, improved support for international, third party insurance through Endicia or UPIC and links in CMS you can click to open or manage your Endicia account. Version 7.0.2 is also compatible with the new DaZzle version 11.1.3


READ BEFORE USING 7.0.2 - Important changes to existing features in CMS that may affect your day to day use of CMS.

If you use the Past Items option in Order Entry or the eCMS ASCII product export, these options have changed and you should familiarize yourself with the changes in the documentation below. Otherwise 7.0.2 will not present any procedural differences for your staff. If you are new to version 7.x, however, there were significant changes between v6 and v7 that must be understood before installing or using CMS v7. Please see the Release Notes for version 7.0 for more information.

POS orders - If your company uses the POS checkbox in Order Entry, with or without the POS Module, you must create a new shipping method which CMS will use as a default for POS orders. CMS will not allow you to process POS orders until this has been done. See below for details.

7.0 ENHANCEMENT DETAILS

  1. USPS 2011 Rates and Services - Shipping/Postage rates have increased for Parcel Select (bar coded non presort), Priority and Express Mail while rates for First Class, Media Mail and Parcel Post remain unchanged (for now.) Read more about this rate change at USPS's site. Endicia's site also has a good summary of the changes.

    The 2011 rates have been added to CMS and we have also added rates for First Class Letter and First Class (large) Envelope, two services previously available in CMS but without all of the supporting rates. USPS has added number of new services and options in 2011 and, of those, we have included their two new Priority Mail Flat Rate services: Padded Envelope and Legal Envelope, both $4.95. To use these new service options, go into Setup>Shipping>Shippers and Methods and create new shipping methods that point at USPS Priority Mail Flat Rate Padded Envelope or Legal Envelope.

    USPS has also introduced the options/services listed below. These are not yet built into CMS but we will consider them if there are considering them and will add them if enough interest is expressed. Please contact us if you would like to use any of these services. Each is described in more detail in the Endicia link just above.

  2. USPS offers different rate structures and of those, CMS uses the standard Retail rates. These are the published rates anyone would receive at the counter of any post office. USPS offers Commercial Base pricing to companies using electronic postage solutions, like Endicia, and other more heavily discounted pricing to companies shipping large volumes of packages (75,000+/yr.) While CMS uses the Retail rates, Endicia will still calculate the proper Commercial Base rates for you when shipping through CMS's integration with their software. As such, it is not necessary for you to have the Commercial Base prices in CMS and, in fact, this gives you an opportunity to have some profit margin in your shipping costs if you charge your customers based on the carrier's rates.

  3. UPS 2011 Rates and Surcharges - The rates for UPS services and surcharges have increased for 2011. These new rates are included in this 7.0.2 update. CMS uses the Daily Rates which apply to companies with a daily pick-up. You can read more about the UPS 2011 rate change on their site HERE.

  4. FedEx 2011 Rates and Surcharges - The rates for FedEx services and surcharges have increased for 2011. These new rates are included in this 7.0.2 update.   5. Endicia integration improvements - NewHaven Software was Endicia's 'Featured Partner' in their October 2010 newsletter. In preparation for that, we added support for the few capabilities of Endicia's DaZzle software that CMS's integration was missing. These additions qualified NewHaven Software for their Certified Partner status, a designation shared by few other companies. We're excited to be recognized by Endicia for our outstanding integration with their software and hope you'll find the new integration capabilities useful.   6. UPS XML integration improved - If you're not yet using CMS's XML integration for UPS you're missing the boat! This alternative to the traditional "keyed import" is our fastest and most efficient means of processing UPS packages. This XML integration mimics the Endicia integration so your warehouse staff has only one shipping procedure to learn. It also makes it much easier to manage multi-package shipments since you can see all of the packages at once and can easily create additional packages as needed (CMS automatically assigns the new package numbers.)

    In 7.0.2 we have added QVN (Quantum View Notify) options for the XML integration to support email confirmations being sent from UPS. You can configure CMS to request emails for shipment, exception and/or delivery. You can setup these new options in Setup>Shipping>Shippers and Methods>UPS

  7. Shipping terms clarified - The term "method" has long been used as a generic reference to how something is shipping but whether that pertains to a method you created or one from the carrier was less clear and thus has been the source of some confusion. We have standardized on our terminology for shipping related terms and made corresponding changes to both the CMS interface and database to adopt these changes. The database changes are described above. The terms and their definitions are below:
  8. Past Items redesigned - CMS has had a feature called Past Items available in the Items screen of Order Entry for many years. This feature allows you to see items the customer has previously ordered and add them to the current order. In 7.0.2 we've redesigned the interface to make it faster and easier to use. Changes in 7.0.2 are illustrated in the screen shot and include:
  9. eCMS Product Exports - CMS's integration with CommerceV3 extends back to 2003 and one of the early methods used for exporting product data from CMS for upload to CV3 was the use of an ASCII export from CMS Setup>eCMS. Since that time we developed a faster and easier XML product data upload option to replace it but, for companies that wish to modify the product data from CMS before uploading, the ASCII format is still the best choice. With the ASCII export you can load that product data into Excel, make the changes you need, and then upload to CV3.

    While CV3 has always supported the CMS ASCII product export, they have since developed a more generic and robust ASCII import to work with just about every field their system supports. In CMS 7.0.2 we have added support for CV3's ASCII layout for product data. This tab delimited layout is now used in lieu of the previously CMS format. As such, if you are using ASCII product data exports for eCMS, please be aware of the change to a tab delimiter and the requirement that you include the header record. This header record is used by CV3 to identify which fields are included in the file. For a complete list of the fields supported and related documentation, please refer to CV3's wiki HERE.

  10. POS Module enhancements - A number of changes are forthcoming for the POS Module in version 8.0 but a few of these enhancements were immediately available so we've included them in 7.0.2. These include:
  11. Updated Reports - Every report has been reviewed and re-synchronized with the 7.0.2 database structure to ensure all of the reports will work with the aforementioned database changes. In some cases this synchronization will improved the performance of some reports.
