CMS Version 7.0.3 Release Notes

CMS version 7.0.3 includes the modifications necessary to support the new U.S. Postal Service® rates which are effective April 17, 2011. This update also includes other enhancements and bug fixes; specifics of which can be found below.

When to Install - The shipping rates in CMS will be updated when you install the 7.0.3 update. As such, you should plan the installation of your update to coincide with when you want the new rates to be available in CMS.

Whether or not you have the current rates in CMS you can continue to ship properly with any of your CMS shipping integrations. In every case, the software that prints the shipping label (e.g. WorldShip™ , Ship Manager®, DAZzle®, ShipRush™ , etc.) determines the proper rate for the shipment and is thus how you are billed.

Having the current rates in CMS is typically more of a reference. Its greatest impact, though, is for companies who charge their customers a shipping and handling fee based on the actual carrier rate (instead of a spending table or other formulas.) If this is how you charge your customers for shipping and handling, you will want to make sure you have this update installed as soon as you want to start charging your customers based on the 2011 rates.

NOTE: In 7.0.3 we have moved from using the Retail rates to the Commercial Base rates for all USPS mail classes which have that pricing tier. Mail classes that qualify for Commercial Base rates include Express Mail, Priority Mail, and First Class Package. Other mail classes will retain their Retail rates. Commercial Base rates are the equivalent to the daily pick-up rate with UPS and are available to any shipper, regardless of volume, using an electronic postage solution (like DYMO™ Endicia®.)

READ BEFORE INSTALLING 7.0.3 - If you are new to CMS version 7, you must read the version 7.0 Release Notes before proceeding with this update. There were significant changes between version 6 and 7 which are not covered in this document and must be understood before installing.

Release codes - During the installation you will be asked to enter your 7.x release code. Only 7.x release codes will work with your 7.0.3 update. You can access your 7.x release code by logging into the Support Downloads section of our web site. Just enter your customer number and zip code to log in.

Server updates - You will only need to install v7.0.3 on your server. No workstation updates are required.

PCI and PA-DSS - With every new CMS release, PCI related changes will be detailed in this section of the Release Notes to keep you apprised of how changes in the software may affect CMS's or your compliance. In version 7.0.3 no changes were made that affect your PCI or CMS's PA-DSS compliance.

CMS was validated against the PA-DSS 1.2 specification which was current in 2010 and that validation lasts for three years at which point CMS will have to be re-validated against the current standard. If we make any changes to CMS that affect PA-DSS, we must submit our software for re-validation. Changes that affect CMS's PA-DSS validation would only be included in major or minor versions (e.g. 8.0 or 7.1) and never a release or build (e.g. 7.0.3 or 7.0.1.56). See our article on Release Notes for more of an explanation of CMS's versioning system and how it relates to PA-DSS.

Database Changes - A number of changes were made to facilitate our support of negotiated shipping rates as well as some Endicia integration changes. The database changes are detailed below. If you have written custom reports, invoice forms, PO forms, exports or integrations with your CMS database, please review them to see if any are referencing the following fields and update accordingly. CMS and all of its reports have been reviewed and updated.

SHIPPERS table

ShipDefaults table - This new table has been added to store flat rate shipping values which used to be stored in the CMS executable. Zone based rates are still stored in the SHIPRATES table but now all non-zone based charges including surcharges, fees and flat rates are stored in ShipDefaults. This allows for the user to control/edit these values which is needed when wanting to use negotiated shipping rates in CMS.

Functions - Database functions that are used by CMS and Crystal Reports

XML changes - Fields added to CMSXML.xsd - No changes in 7.0.3

Integrations - Comments on the status of assorted CMS integrations:

READ BEFORE USING 7.0.3
- Important changes to existing features in CMS that may affect your day to day use of CMS.

If you use the Bank Deposit screen, you'll find that the sort order of the check data in the grid has changed. Per customer feedback, it has been altered to display checks ordered by date (descending) and within each date they are sorted in the order they were entered.

You now have the option to decide if you want the Batch Approvals report to print automatically after processing from the Batch Approvals window. See below for more information on configuring this option.

Otherwise 7.0.3 will not present any procedural differences for your staff. If you are new to version 7.x, however, there were significant changes between v6 and v7 that must be understood before installing or using CMS v7. Please see the Release Notes for version 7.0 for more information.

POS orders - You may now edit POS orders within the same day there were saved. You will also not be able to save a POS order if it has an unapproved charge card payment. Receipt form settings may now be saved and there is now a Gift Receipt option (must be configured.) See below for additional details.

7.0 ENHANCEMENT DETAILS

  1. USPS 2011 Rates - USPS shipping/postage rates increase on April 17, 2011 for First Class, Media Mail and Parcel Post. Details on the rate increases can be found on Endicia's website in an excellent article they have prepared on the subject. http://www.endicia.com/pricechange. This article distills the rate change down to just what affects shippers and excludes the bulk mail changes so is easier to digest than the USPS rate change page.

Other USPS mail classes, like Priority Mail and Express Mail, have not increased. We have, however, adopted the USPS Commercial Base rates in CMS for all mail classes that qualify for these rates. These include First Class Package, Priority Mail and Express Mail. The USPS Commercial Base rates are available to any shipper, regardless of volume, who is using an electronic postage solution, like Endicia. These Commercial Base rates are much like the daily pick-up rates you would receive with UPS if you have a daily pick-up.

Zone charts do change from time to time and have been updated in CMS in this update as well. This includes a fix to some Alaskan destinations whose zone was missing.

  2. USPS Mail Classes added and updated - A number of mail class changes have been made in 7.0.3 including:
    1. Priority Mail Regional Rate Box - You can now make use the the USPS Regional Rate Box (A and B) which is priced on a flat rate per zone. Box A has a weight limit of 15 lbs and Box B has a weight limit of 20 lbs. If you are shipping products in the 4-20 lb range these boxes may offer you significant savings! See Endicia's site for a overview or order you free boxes at USPS.com.
    2. International Options - CMS now supports the following International methods for USPS
      1. First Class International
      2. Express Mail International
      3. Global Express Guaranteed (non-document)
      4. Priority Mail International, including corresponding rates, are now available in CMS including the following Flat Rate options:
        1. Flat Rate Box (Small, Medium and Large)
        2. Flat Rate Padded Envelope
        3. Flat Rate Legal Envelope

  3. Endicia integration improvements
    • Version 11.2 - CMS has been tested and verified to work properly with Endicia's new DAZzle version 11.2.

    • Simpler DAZzle layout setup - You can now minimize the number of DAZzle layouts you are using, perhaps even down to just a single layout. Previously each mail class required that a unique DAZzle layout be created with the mail class hard-coded into it. CMS now utilizes newer integrations options with which CMS can tell DAZzle which mail class to use. With this new setup you can setup and maintain just a single layout in DAZzle and configure CMS to use that same layout for each of your USPS mail classes. No change is required though and you can continue to use different layouts for each mail class as you have been.

    • Regional Rate Box - CMS's integration with DAZzle has been updated to support the new Priority Mail Regional Rate Box options.

    • Insurance fixes - If you edit the Insure flag or package value in the manifest, those values will pass through to Endicia.

  4. USPS Insurance Calculation option - You can now tell CMS if you want your USPS insurance charge (to your customer) to include or exclude the first $100 of their order total. This allows you to either emulate the USPS method for calculations (calculating from $0) or to create more of a custom insurance spending table which would only charge above $100. This new setting can be found in Setup>Shippers and Methods>USPS.

  5. Negotiated/Custom Rates - If you have negotiated rates with UPS or FedEx, it is now possible to have your rates available in CMS. For a small fee we can replace the published daily rates in CMS with your negotiated rates. If you're interested, please contact your Platinum Account Representative or sales@newhavensoftware.com for more details.

A side effect of the work we've done to support custom rates was to expose all of the flat rate fees in Setup so you can both see what the current fee is that is built into CMS as well as override that with your own fee. This includes the charges for flat rate USPS mail classes as well. You can view and modify these in Setup>Shippers and Methods just by clicking on the carrier of choice. Click on the Activated checkbox to override the internal fee and use your own custom fee.

  6. Customer Search Results - After searching for a customer with Find Customer (F2) you can now sort the results of your search. Just click on any column header (name) to sort by that column (ascending.) Click the same column header again and it will sort your results descending. This works with any field in your search results. CMS will remember the last sort you used and apply it to all additional searches performed until CMS is closed. The example below illustrates a last name search which is then sorted by State.

  7. Bank Deposit Sorting - We've received a good deal of feedback on the sort order of our Bank Deposit screen. In 7.0.3 the grid is now sequenced in date order descending and within each date the payments will be sorted in the order they were entered into CMS.

  8. POS Module enhancements - A number of changes are forthcoming for the POS Module in version 8.0 but a few of these enhancements were immediately available so we've included them in 7.0.3. These include:
  9. Negative Product Pricing - CMS will now allow you to set a negative price for any non-inventory item. The common use for this would be for coupon-type situations where you'd want to enter a coupon code to trigger a $x.xx off your order. You can also nicely track your coupon redemption via product sales reports. Consider though that these products are just adding a negative value item to the order and not triggering a percentage discount or other type of offer. We are looking at ways to support alternate styles of offers for future CMS releases.

  10. New Invoice Filtering Option - In Setup under Fulfillment Options>Printing we have added an option labeled "Do not show if all items are being drop shipped". This option will hide invoices in the Batching and Form Printing screens, as do the other "Do not show..." options, whenever an invoice has all drop shipped items on it. If you are drop shipping there is a good chance you do not want an invoice or other fulfillment forms to print for your warehouse. This option will keep these invoices from displaying in the screens where you would create print batches or do fulfillment form printing. Invoices can still be printed manually when needed.

  11. Updated Reports
    1. Batch Approvals Report - This report prints automatically after processing batch approvals. You may now disable this report if desired. There is a new default option in Setup under Fulfillment Options>Printing for "Print while processing Batch Approvals". This default option controls if the option of the same name is checked or not when you open the Batch Approvals screen. There you can override the default option as needed.
    2. POS Gift Receipt - For POS users, we have included a new 80 column thermal receipt to be used when a customer requests a gift receipt. This receipt uses the same format as our default POS Sales Receipt but includes no pricing information.
    3. Price List Report - Now showing base price for items with quantity discounts.
    4. Credit Card Transaction Report - Now filtering out $0.00 payments and have added counts to show the number of each type of payment received.
