CMS Version 5.2.2 release notes

Introduction

Welcome to CMS version 5.2.2! This update focuses on the CMS modifications necessary to support the 2009 shipping rates for USPS, UPS and FedEx. It also introduces some new functionality as well as bug fixes. See below for additional comments/recommendations on when to install CMS updates that affect shipping rates.

If you have already installed version 5.2.1 for the 2009 UPS and FedEx rates, 5.2.2 has the same features and fixes as 5.2.1 but also includes the 2009 USPS rates, the new Priority Mail Small Flat Rate Box method and a few more bug fixes.

Important : If you are updating from 4.x, you will need to install the upgrade on the server and the workstations. If you are already on version 5.x, only a server update is required.

READ BEFORE INSTALLING 5.2.2

RELEASE CODES - You may install this update using your existing 2008 release code or your new 2009 release code.

Release codes for CMS that were issued in 2008 will expire January 31st, 2009. If you have not yet installed version 5.2 you may do so using the new release code. This will update both CMS and your release code.

If, however, you have already installed version 5.2 using your 2008 release code, you may skip reinstalling 5.2 to update your release code and instead use our License.exe utility. To do this, from Windows Start Menu, just click on Start>Run and then Browse to the directory where you run CMS.exe from. There you will find License.exe and, when run, will prompt you to enter your customer number and release code. Unlike a server install/update, your release code may be updated from a server or workstation.

If you are running CMS version 4.x, you may still use this version to update but we strongly encourage you to read the 5.0 release notes before proceeding.

No workstation updates are required with 5.2. You will only need to update your server.

This update may take as much as twice as much time to install as other updates (due to database updates) so please plan accordingly.

When to Install - The shipping rates in CMS will be updated when you install the 5.2.2 update. As such, you should time the installation of your update to coincide with when you want the new rates to be available.

It should be noted that having the current rates in CMS does not impact your ability to ship properly with any of the CMS shipping integrations. In every case, the software that prints the shipping label (e.g. Worldship, Ship Manager, HarveySoft, ShipRush, etc.) determines the proper rate for the shipment and thus how you are billed.

Having the current rates in CMS is often more of a reference. Its greatest impact, though, is in situations where the shipping and handling charge you charge to your customer is based on the carrier's actual rate (instead of a spending table or other formulas.) If this is how you charge your customers for shipping and handling you will want to make sure you have this update installed so you have the proper rates.


READ BEFORE USING 5.2.2

Email Confirmations have changed!! - If you are using CMS's email confirmations, the configuration for them has changed and must be updated manually after the update has been installed. Please see below for more information on this.

Database changes (Provided for the benefit of those who write their own reports or connect to the CMS database from other applications.)

Added

WEIGHT in table SKU - Data has moved from the PRODUCTS into this field and corresponds to an interface change allowing the user to specify unique weights for each SKU (size/color.)

Deprecated

The following fields in our tables are no longer supported. if you have reports which you've written to use these fields, you will need to modify them as suggested below:

WEIGHT in table PRODUCTS - This field has been deprecated. The data from this field has been moved to SKU.WEIGHT and the field has been removed from the PRODUCTS table.

More database changes were made in previous CMS releases (5.0, 4.0.4 and 4.0.) Please refer to their release notes for details on those changes.

XML Changes - Provided for the benefit of those importing orders into CMS via XML. The latest copy of the CMSXML.XSD file can be found on your 5.2 CD or will be provided on request.

No XML changes in 5.2 but there were changes in 5.0. The 5.0 release notes should be consulted for more information.

Wizard order import format - Version 5.0 was the last version that will support the Wizard Order Import formats (98 Product ASCII fixed length.) If you are currently using this format to import orders, please start taking the steps to convert your web site or call center to CMS's XML format. Contact NewHaven Technical Support for specifications and a sample XML file to reference.

Known limitations of orders and purchase orders - Please be aware of the following maximums for the number of line items for orders and purchase orders. These are not new but you should be aware of them.

Orders : 999 line items per order. This is the total number of lines items and includes all invoices/items for an order. For example, if an item is ordered (on invoice -1) and then fulfilled (-2) and then returned (invoice -3) that his counts as three line items toward the total. We presently have no plans to change this but please contact us if you expect this will be problem for you in the future.

Purchase Orders : 300 line items. We expect this capacity to be raised in our version 6 release this year. Like the order entry line items, it will likely go up to 999.


Update your operating systems and hardware

In January 2005, we gave our first warning that CMS would soon no longer function on operating systems that are no longer supported by Microsoft, and we have continued to recommend upgrading to a current operating system with each subsequent release of CMS. These operating systems include Windows 3.1, 95 & 98, WinMe, and NT Server or workstation. In addition, Windows XP Home and Vista Home does not meet our minimum system requirements. If you are still running CMS on any of these operating systems, you must update those machines to Windows 2000 Professional or XP Professional (servers should be upgraded to Windows 2000 or 2003 Server).

Future CMS updates may contain features and/or integrations with products that are not compatible with these older operating systems. Make plans to update these end-of-life operating systems on your workstations and/or server now. NHS does not provide support for systems using end-of-life operating systems or for systems that do not meet our minimum system requirements.

Windows Vista and 2008 Server:

We are continuing to test CMS on Windows Vista. While we have not formally announced support for Vista yet, early testing has not revealed any compatibility problems with Vista Business or Vista Ultimate. As with Windows XP, we will not be supporting the 'Home' versions of Vista including Vista Basic and Vista Home Premium. Until we announce support for Vista you should continue to run CMS on Windows 2000 Pro or XP Pro for your workstations. We will continue testing Vista and will likely announce support for the Business and Ultimate editions later this year.

2008 Server is the 'Vista' version or replacement for 2003 Server. Like Vista, we cannot yet support this operating system. If you are purchasing a new server you'll want to use 2003 Server. While 2008 Server will require many of the same modifications (namely to the installer) that we'll have to make for Vista, your database server (Sybase) is also running on the server so that too must be tested to ensure compatibility. As such, Vista support will be announced before 2008 Server. However, unlike XP Pro, 2003 Server will continue to be available for some time so you should not have any troubles finding a server with this operating system.

5.2.2 ENHANCEMENT DETAILS

  1. 2009 USPS Shipping Rates - New postal rates go into effect January 18th, 2009. The following rates have been correspondingly updated in CMS. Please note that we use the published Retail rates. Commercial rates or other discounts may be available to you if you are shipping with Endicia and they will charge you the appropriate rates regardless of the rates in CMS.

    Express Mail - Includes changes to flat rate envelope.
    Priority Mail - Includes assorted flat rate changes.
    Parcel Select - Rates for non-machinable are used. Please note this is not the same as Parcel Post whose rates have not changed.

  2. Priority Mail Small Flat Rate Box - USPS has introduced a small version of their flat rate box. This new small box is the same price as the flat rate envelope and will hold approximately three DVD's. Like their other flat rate offerings, you can order these boxes free from their web site. The exact box dimensions are also listed there.

    We have added this new shipping method to the list of supported methods in CMS. If you'd like to use Priority Mail Small Flat Rate Box just create a new shipping choice in Setup>Shipping>Shipping Choices.

    Endicia will also be updating their DaZzle software to support Priority Mail Small Flat Rate Box. You will be prompted on or before the 18th to install this update. Once you have both CMS and DaZzle updated, you will be able to use Small Flat Rate Box via the CMS-DaZzle integration. If you are not already using Endicia's DaZzle software or do not have it integrated with CMS for easy USPS shipping, please contact NewHaven Software Technical Support for more information and assistance.

    If you are using the printed USPS manifest form 3600R in CMS and would also like to use the new Priority Mail Small Flat Rate Box, please contact us at NewHaven Software before you begin use of Small Flat Rate Box. The 3600R form does not yet support this new method but we can contact you to let you know when that option is available.

  3. International shipping via Endicia - We've enhanced our integration with Endicia's DaZzle software to better support international shipments. DaZzle should now recognize the shipment is international and which country the shipment is for.

  2. USPS City/State/Zip data updated - The data CMS uses to populate the city, county and state fields when entering a zip code has been updated. This data is obtained from the US Postal Service.

    Reminder: USPS rates change on January 18th, 2009. A CMS update will be made available for download on January 15th containing these rate updates. You can read more about the upcoming rate change on the USPS web site

  3. Email Order and Shipment Confirmations - In 5.2 we have moved the configuration for your confirmations to the Order Source. This means that for each order source (walk-in, phone, each web site, call center, etc.) you can configure CMS to send different order and shipment confirmations.

    When you install the 5.2 update, CMS will copy all of your existing settings to each order source you are currently configured to send confirmations for. You will however have to edit each and specify the email account you want used for each confirmation. This is a one-time operation and CMS will retain these settings moving forward.

    As a result of these changes you'll notice changes in the Setup screens for both the Order Source section and Email Confirmations as well as the screen in Fulfillment Manager where the email confirmations are released. These updated screens are shown here:



    Note the 'Skip Conf' field has been removed since it has been moved to the Setup screen below.


    On the screen above (Setup>Fulfillment>Fulfillment Options) you'll need set the 'Email Account to Use' for each order source. To do this, click on each order source in the middle grid, choose the email account(s) you want to use and continue through the list of all of your order sources. Click Close when complete to save your changes.

    Below is the new Email Confirmations screen. We've added the ability to sort by any of the columns in the grid just by clicking on them. You can also now enter a BCC address to use so you can receive copies of any emails sent here.



    Also note that the text has changed on the Import Orders screen for the option to create order confirmations. This option now reads 'Create Order Confirmations':



  4. Weight moved to SKU - In version 4 we moved pricing from the product level to the SKU level. In other words, you can set unique prices for every SKU (size/color.) In 5.2 we have moved the product's weight to the SKU level as well. This means that you may assign a unique weight to each SKU for a product.

    As such, you'll now find the Weight field under the Price/Inventory>Inventory tab as seen below. This is true even for products that do not have sizes/colors.



    When you install the 5.2 update, the installer will copy your product weights to all of the corresponding SKUs so there is nothing you need to do if all of your SKUs for a product are the same weight.

  5. Source code requirement option - An option has been added so you can require your operators enter a valid Source Code (ad code) when adding a new customer to your mailing list. This new option can be enabled in Setup>Customers>Customer Fields as seen below:



    Note this only applies to adding new customers directly to your customer list. There is a separate option in Order Entry options if you want to require a valid ad code be selected before saving a new order.

  6. Address Discrepancy Check - An option has been added which, when enabled, will tell CMS to warn the operator when an order is being saved with a shipping or billing address that does not match the customer/mailing address. This option was introduced to help catch situations where the customer's main address has changed but not the shipping and/or billing. Such a discrepancy could have been due to operator oversight, an address that was updated via NCOA or it may be legitimate.

    To turn this option on, go into Setup>Order Entry>Order Entry Options as seen below:



    Once enabled, the message you will see in such situations looks like this:



    The message you see displayed will change based on if the shipping or billing address do not match the customer/mailing address.

  7. EDC time outs - We've improved the way CMS communicates with the credit card processors. If there is an interruption in CMS's communication with the processor and the connection cannot be resolved within 20 seconds, CMS will display a message to the operator letting them know that the transaction was not completed and the processor should be consulted to confirm if the transaction went through. This modification will also prevent CMS from hanging (appearing to lock up) when waiting for a response from the processor that never comes.

  8. Charge processing safeguards - In previous versions of CMS it was possible to process a credit card (e.g. Order Entry or Apply Payments) and then exit that window (or exit CMS) without saving. In such cases the charge was still processed but, since nothing was saved in CMS, there was no record of the charge in CMS. In 5.2 we have implemented a number of safety measures that will prevent the operator from closing CMS or its windows when there is an unsaved and processed charge (approved or captured.) If such a situation occurs, the operator will be warned they must either save the order/payment or void the transaction.

  9. Recipient shipping methods improved - For Multi-Ship type orders, when recipients are entered you may specify a default shipping method that you want used for any of their shipments. We've found that in most situations this option did not work properly and has been modified to work as expected.

  10. Gift message warning - When entering a multi-ship order, you have the option to enter a gift message and copy it to all recipients. It was easy, however, to quickly do this and wipe out gift notes on other recipients unintentionally. To resovle this, CMS will now warn the operator that this gift message is about to be copied to all recipients and ask for confirmation.

  11. Enter key in size/qty grid - There is an Order Entry option called "Handle Quantities in Size/Color Matrix" which allows your operators to enter in the quantity ordered next to each SKU for sized items. If you are using this option, you'll now be able to use the Enter key to move through the SKUs in the grid and also to exit the grid. With this option enabled you'll no longer need to click on OK to exit the grid.

  12. Messages tab added to Manifest - In 5.0 we stated that the future of shipping with CMS is to ship from within CMS and not via external shipping systems like UPS Worldship. The benefits will be realized both in our CMS 6.0 release as well as in the forthcoming ShipRush module. A small change we've introduced in the mean time is a Messages tab on the Manifest screen which will be used to display communication information between CMS and its shipping engine. Such messages would inform you of successful processing or any errors. For the moment you will not see any activity here but expect to see that change with later 5.x patches and ultimately the 6.0 release this year.

    This Messages tab will display in place of the normal bar graph displaying the number of packages you have per carrier...which is rarely used with current methods of package processing.



  13. Yahoo imports improved - We have enhanced our Yahoo import mappings to support Company Name and invoice Notes.

  14. Automated Imports - New validation checks have been added to the Automated Imports module. You can now select the following options to prevent new orders from being created automatically when the these conditions are selected and met:
    1. States - Here you may select which states to manually verify.
    2. International - If this option is selected, any non-US orders will be removed for manual verification. You may additionally select other countries to exclude so, like US orders, they will be allowed to pass through without manual verification.
    3. Tax - You may select to manually verify orders that have federal, state and/or local taxes on them.
    4. Payment method - Orders which have payments using the methods you've selected will be placed in the Verify Orders screen for manual verification.
